Registration terms

Camp policies.

These policies cover registration, family cancellations, weather, minimum enrolment, equipment and safe participation.

Registration and payment

A rider’s place is confirmed after registration is complete, the required booking acknowledgements have been accepted and payment has been successfully received.

Parents and guardians are responsible for providing complete and accurate rider, medical, emergency-contact and pickup information and for updating Shore Bike Camps if anything changes before camp.

After booking, Shore Bike Camps will email the approved participation waiver. A parent or legal guardian must complete it before the rider participates. Reminder emails may be sent seven days and 72 hours before camp. An unsigned waiver does not cancel or refund the booking, but the rider cannot participate until it is complete.

Family cancellations, refunds and transfers

Cancellation and transfer requests must be sent in writing to hello@shorebikecamps.ca. Notice is measured from the scheduled first day of the registered camp.

  • More than 10 calendar days before camp: transfer the full registration value to another available Shore Bike Camps week in the same season at no charge, or receive a refund of fees paid less a $35 administration fee.
  • 10 calendar days or fewer before camp: no refund, credit or transfer is available.
  • Missed days, late arrival, early pickup, no-shows and voluntary withdrawal after camp begins are not eligible for a refund or credit.

Minimum enrolment and cancellations by Shore Bike Camps

Each camp normally requires at least three registered riders and may have a higher operational minimum. If enrolment is below the applicable minimum, Shore Bike Camps may cancel the camp or choose to operate it with fewer riders at its discretion. We will keep registered families updated and make the final minimum-enrolment decision at the camp’s scheduled decision time, normally 72 hours before camp.

If Shore Bike Camps cancels a camp, families may transfer the full amount paid to another available camp or receive a full refund of camp fees paid. Shore Bike Camps is not responsible for travel, accommodation, equipment or other costs incurred by a family.

Weather, air quality and trail conditions

Camps run rain or shine. Coaches may change routes, riding areas, departure times, skills sessions or the daily plan when weather, air quality, trail closures or trail conditions require it. These operational changes do not count as a camp cancellation.

If conditions become unsafe and Shore Bike Camps cancels an entire camp or its remaining days, we will contact affected families directly with the available transfer, credit or refund option.

Rider readiness and equipment

Riders must arrive with their own properly fitting, trail-ready mountain bike and fitted, undamaged helmet. Bikes must have gears, working front and rear hand brakes and off-road tyres.

We check bikes and helmets before the first ride. A rider cannot ride until unsafe equipment is fixed or replaced. Missing or unsafe equipment does not create an exception to the cancellation policy.

Families are responsible for choosing the camp that matches how their child rides today. Please contact us before registering if you are unsure.

Health, conduct and safe participation

Parents and guardians must disclose information that may affect safe participation, including relevant medical conditions, allergies, medications and support needs.

Riders should carry and be able to access their own prescribed medication. Families must contact Shore Bike Camps before booking if a rider may require assistance.

Riders must follow coach instructions and behave in a way that supports the safety of the group. Shore Bike Camps may pause or end a rider’s participation when their health, conduct, equipment or riding level creates a safety risk that cannot be reasonably managed. Removal for these reasons is not eligible for a refund or credit.

Drop-off, pickup and communication

Parents and guardians are responsible for arriving at the published drop-off and pickup times and for listing every adult authorized to collect the rider. We may request identification before releasing a rider.

Important camp updates will be sent using the email address or phone number supplied during registration.
