Privacy notice.

1. Accountability and scope

This Privacy Notice describes how Shore Bike Camps collects, uses, discloses, protects and retains personal information relating to parents, guardians and child riders. Shore Bike Camps is responsible for personal information under its control, including information processed by service providers on its behalf.

2. Information we collect

• Registering-adult information, including name, email address, telephone number, relationship to the rider and, where needed, an explanation of their authority to register the rider.
• Rider information, including name, date of birth, calculated age on the first day of camp, selected programme and, for Mount Fromme camps, relevant blue-trail experience.
• Safety information, including emergency contacts, the names of additional authorized pickup adults and, when disclosed, allergies or anaphylaxis, medications, medical conditions or recent injuries, accessibility, behavioural and other support needs.
• Booking information, including camp selection, price, taxes, payment status, cancellation or transfer history and communications.
• Family and repeat-booking information, including a private customer record linked by the normalized registering email address, the riders previously registered through that record and the associated Stripe customer identifier.
• Waiver information, including Smartwaiver document ID, template or version, status and signing or verification timestamps. Shore Bike Camps may retain an approved copy or certificate when required by its insurer or counsel.
• Technical information reasonably required to operate and secure the website, such as IP address, browser information, request logs, timestamps and security events.

3. Why we use the information

• To process and administer registrations, payments, transfers, cancellations and refunds.
• To recognize sibling and repeat bookings, keep each rider’s registration separate even when a family makes one payment, and provide accurate family booking history to authorized administrators.
• To confirm age and programme eligibility, assess Mount Fromme camp placement and prepare camp rosters. Assigned coaches should receive the rider’s calculated camp age rather than full date of birth unless the full date is operationally necessary.
• To support rider safety, emergency response, authorized pickup and reasonable programme planning.
• To communicate confirmations, receipts, required forms, operational updates and end-of-week rider recaps.
• To verify required participation waivers and policy acceptance.
• To prevent fraud, secure the website, investigate incidents, meet legal, accounting and insurance obligations and resolve complaints.

4. Consent and choices

Shore Bike Camps will collect, use and disclose personal information only for purposes that a reasonable person would consider appropriate and as permitted by law. Required registration information is used to provide the camp service and operate it safely.

A parent or guardian may decline to provide optional information. If required identity, contact, emergency, medical-safety or payment information is not provided, Shore Bike Camps may be unable to accept the registration. If the required participation waiver is not completed after booking, Shore Bike Camps cannot allow the rider to participate.

Consent may be withdrawn on reasonable notice, subject to legal, contractual, insurance and record-retention requirements. Shore Bike Camps will explain the likely consequences of withdrawal.

5. Children’s information

Registration is completed by an adult parent, legal guardian or other legally authorized person. Shore Bike Camps does not ask children to create accounts or purchase camps.

Rider information is used for camp delivery and safety. It is not sold or used for behavioural advertising. Any optional photo, video or marketing permission should be requested separately and must not be a condition of attending camp.

Date of birth is collected to calculate age on the camp’s first day and confirm schedule eligibility. Access to the full date should be restricted; coaches should ordinarily receive only the calculated age.

6. Who may receive information

• Assigned coaches and authorized Shore Bike Camps administrators, limited to information needed for their role.
• Stripe for payment processing. Shore Bike Camps should not receive or store full payment-card numbers.
• Smartwaiver for waiver presentation, signing, verification and storage.
• Hosting, database, email, security and operational service providers acting for Shore Bike Camps.
• Emergency responders, medical providers or an emergency contact when reasonably necessary to protect a rider.
• Insurers, professional advisers, regulators, law enforcement or other parties when reasonably required or authorized by law.

7. Processing outside Canada

Some service providers may store or process personal information outside British Columbia or Canada. Information processed in another jurisdiction may be accessible to courts, law enforcement or regulatory authorities under that jurisdiction’s laws.

8. Safeguards and access controls

Shore Bike Camps uses administrative, technical and physical safeguards appropriate to the sensitivity of the information. Controls include encrypted connections, protected administrative accounts, multi-factor authentication, role-based access, restricted coach access, logging, secure backups and tested incident-response procedures.

No internet or storage system is perfectly secure. Shore Bike Camps will investigate suspected privacy or security incidents and notify affected individuals or authorities when appropriate or legally required.

9. Retention and deletion

Personal information will be retained only as long as reasonably necessary for the disclosed purpose and applicable legal, accounting, insurance and dispute requirements, then securely deleted or anonymized.

Retention schedule: delete abandoned or unpaid registrations after 30 days; remove routine medical, pickup and emergency roster information 90 days after camp unless connected to an incident or legal requirement; retain financial and contract records for the legally required accounting period; and retain waiver and incident records for the period approved by counsel and the insurer, taking into account that riders are minors.

10. Access, correction and complaints

A parent, guardian or other authorized individual may make a written request to access or correct personal information under Shore Bike Camps’ control. Shore Bike Camps may need to verify identity and authority before responding.

Requests and privacy complaints may be sent to the Privacy Officer at hello@shorebikecamps.ca. Shore Bike Camps will assist with reasonable requests and respond as required by applicable law. An individual may also contact the Office of the Information and Privacy Commissioner for British Columbia.

11. Website logs, cookies, advertising and marketing

The website and its hosting provider may use essential cookies, request logs and similar technologies needed for security and operation.

Shore Bike Camps advertises its camps online and uses advertising measurement technologies from Google (Google Ads) and Meta (the Meta Pixel) on this website. These technologies use cookies and similar identifiers to record that a visitor viewed a page, began a registration, started checkout or completed a booking, together with the order reference and amount of a completed booking. This allows Shore Bike Camps to measure which advertisements lead to bookings and to show advertisements to people who have visited the website.

The website stores first- and last-touch campaign details in the visitor's browser for up to 90 days. Only recognized campaign fields (UTM source, medium, campaign, content and term; Google click identifiers; Meta click identifiers; the landing page; referring site; and capture time) are kept. Other query-string fields are excluded. If the visitor starts checkout, these campaign details are stored with the booking order so Shore Bike Camps can connect registrations and purchases to the correct campaign.

When a booking is completed, Shore Bike Camps also reports that booking to Meta from its own server so that advertising measurement works when a browser blocks the website’s measurement code. That report contains the order reference, the amount, and the registering adult’s email address and phone number in an irreversible hashed form, together with the advertising cookie identifiers recorded when checkout began. Those cookie identifiers are stored with the booking record and retained under section 9.

Information about riders is never provided to advertising platforms. No rider name, date of birth, age, medical, emergency-contact or pickup information is included in advertising or measurement data. Only the registering adult’s interaction with the website is measured.

A visitor may limit this collection using browser cookie controls or tracking protection, and may adjust advertising preferences directly with Google at myadcenter.google.com and with Meta in the account settings of the relevant Meta service. Limiting these technologies does not affect the ability to register for a camp.

Promotional email or text messages should be sent only with any consent required by law and must include an unsubscribe method. Operational messages about a purchased camp are not promotional messages.

12. Changes and contact

Material changes will be identified by updating this notice’s version. The version presented during registration should be retained with the booking record. Current version: August 5, 2026.
